Workplace Support Coordinator

We are looking for an experienced Workplace Support Coordinator to manage day-to-day administrative and operational support functions within our facility. The candidate must be proactive, organised, and capable of handling multiple support tasks independently.

Key Responsibilities

  • Coordinate and manage daily office and facility administrative operations
  • Maintain and update company records, filing systems, and documentation
  • Liaise with vendors, contractors, and internal departments for operational requirements
  • Manage procurement of office supplies, stationery, and general facility needs
  • Support HR administrative tasks such as attendance tracking, leave records, and onboarding coordination
  • Handle incoming and outgoing correspondence, emails, and calls
  • Coordinate meetings, schedules, and travel arrangements for management
  • Assist in permit-to-work documentation and safety compliance paperwork
  • Monitor and follow up on maintenance requests and facility upkeep
  • Prepare reports, summaries, and presentations as required by management

Requirements

  • Minimum 8 years of relevant experience in administrative or office coordination roles
  • Experience in process, oil & gas, marine, or industrial sector preferred
  • Proficient in MS Office (Word, Excel, Outlook)
  • Strong organisational and multitasking abilities
  • Good communication skills — both written and verbal
  • Able to work independently with minimal supervision
  • Familiarity with Singapore workplace safety documentation is an advantage
