POSITION DESCRIPTION



Position Title: YDI Contracts Officer/Youth Administrative Support
Salary: $35,000.00 - $40,000.00 annually
Term: 18 month contract position covering a maternity leave.
Location: NCNS Head Office - 129 Truro Heights Road, Truro, NS
Position Reports to: Social Youth & YDI Coordinator

Position Overview



Under the direction of and reporting to the Social Youth & YDI Coordinator, the YDI Contracts
Officer/Youth Administrative Support is responsible for clerical, financial, and administrative
services to the Youth Development Initiative.


Essential Functions and Duties



• Coordinate meeting facilities, catering services, and accommodations for Indigenous Youth
Community Grants Committee participants, when required.
o Indigenous Youth Community Grants Committee meetings should occur once a month.
o Communicate meeting agendas and travel itineraries to participants.
o Process travel claims and other payables for participants.



  • Process travel claims for workshops/meetings and ensure details are submitted to finance.
  • Draft grant agreements and reports for the Indigenous Youth Community Grants program.
  • Ensure that Indigenous Youth Community Grants funds are distributed to trustees, as per
    policy.
  • General support and administrative services for the Youth Development Initiative program.
  • Coordinate and take lead of planning Youth Camps.
  • Assist with collecting data required to complete quarterly and annual reports for the
    Department of Community Services.
  • Work to receive appropriate management level approvals for payments and agreements.
  • Preparation of purchase orders and visa reconciliation.
  • Facilitate payment of invoices by reminding and contacting clients, contractors, vendors,
    etc., with outstanding accounts.
  • Assist the Youth Development Initiative with quarterly and year end reporting (as required).
  • Assist the Social Youth & YDI Coordinator with preparing and providing budget updates at
    management meetings for review and verification.
  • Keep up to date files and confidentiality agreements.
  • Continually seek education and training to remain culturally responsible and sensitive to the
    needs of client(s).
  • Develop and implement self-care plan and fiscal work plan.
  • Any other related duties as required to enhance the Youth Development Initiative's
    operational and/or program needs, as requested by the Social Youth & YDI Coordinator.
