Responsibilities:

Casework Administration

  • Oversee casework administrative processes to ensure timely enquiry management, accurate client data maintenance, proper documentation, and effective service support.
  • Provide support for enquiries and ensure appropriate triaging and follow-up.
  • Consolidate and prepare internal and external reports, ensuring accuracy and compliance with reporting requirements.
  • Ensure confidentiality and proper handling of sensitive client information in accordance with organisational policies.

Centre Administration

  • Oversee centre administrative operations, ensuring smooth execution of office maintenance, facilities coordination, vendor management, procurement, and finance-related processes.
  • Work closely with the administrative team to ensure efficient day-to-day centre functioning and operational readiness.
  • Monitor administrative service standards to ensure professional and client-centric service delivery.

Data Governance, Audit & Compliance

  • Serve as the centre’s Data Protection Officer, ensuring compliance with data protection requirements and promoting good data governance practices. • Ensure data accuracy, integrity, and compliance across organisational and sector systems.
  • Support and coordinate internal and external audits, ensuring timely submission of documentation and follow-up actions.
  • Ensure staff’s knowledge and compliance to Standard Operating Procedures (SOPs), data protection policies, workplace safety and health policies, and other organisational policies.

Change Management & Workplace Safety

  • Act as the centre’s Change Agent, supporting communication and implementation of organisational changes, new processes, and system enhancements.
  • Serve as Workplace Safety and Health (WSH) Officer, coordinating workplace safety initiatives, emergency response drills, and compliance checks.

Programme & Operational Support

  • Oversee and provide administrative and logistical support for centre-based programmes, events, and operational activities.

Other Duties

  • Undertake ad-hoc duties and projects assigned to support centre operations.

Requirements:

  • Possess a Bachelor’s Degree.
  • Preferably with 2-3 years of experience in an administrative role, preferably within the social service sector.
  • Strong communication and interpersonal skills, with the ability to engage effectively with internal and external stakeholders.
  • Proactive and self-motivated with the ability to work independently and as part of a team.
  • Organised and meticulous in generating and ensuring accuracy of reports.
  • Service-oriented
  • Tech savvy with advanced skills in Microsoft Office tools (e.g. Excel, Word, PowerPoint)
