Assistant Admin Executive (Family Service Centre - Bukit Panjang)

Responsibilities:

Casework Administration

  • Deliver exceptional customer service by attending to enquiries in a timely, professional, and client-centric manner through phone calls, walk-ins, and other communication channels.
  • Manage and triage incoming enquiries by providing accurate frontline support and directing them to the appropriate parties for timely follow-up and service delivery.
  • Handle sensitive, personal, and confidential information with utmost discretion, ensuring adherence to professional standards and organisational policies.
  • Maintain accurate and timely client and operational data in organisational and sector systems, and provide administrative support including data entry, filing, document preparation, and records management.
  • Support the preparation and consolidation of reports and documentation as required.

Centre Administration

  • Provide administrative and clerical support to support centre operations.
  • Coordination of office maintenance, equipment servicing, office and pantry supplies replenishment, vendor coordination, and staff wellness activities.
  • Process finance-related transactions and procurement requests in accordance with organisational policies and procedures.
  • Assist in workplace safety and emergency response procedures, including coordination of drills and safety checks.
  • Maintain a welcoming, professional, and organised front desk environment.

General Administration:

  • Provide logistical and administrative support for centre-based programmes and events, including venue setup, refreshments coordination, registration support, and other operational tasks.
  • Adhere to Standard Operating Procedures (SOPs), data protection requirements, workplace safety and health policies, and other organisational guidelines.
  • Work closely with the administrative team and centre staff to ensure smooth day-to-day operations and effective service delivery.

Other Duties:

  • Undertake other ad-hoc duties assigned to support centre operations.

Requirements:

  • ‘A’ Levels/ Diploma holder
  • At least 2 years of related front desk, administrative or customer service experience
  • Strong customer service and interpersonal skills, with the ability to engage clients professionally and empathetically.
  • Proficient in Microsoft Office and comfortable using database or case management systems.
  • Good organisational skills, attention to detail, and ability to manage multiple tasks effectively.
  • Able to handle confidential information with professionalism and discretion.
  • Service-oriented, proactive, and able to work both independently and as part of a team.
