Administration& General Affair specialist
Job Responsibilities
- Manage daily office administration and ensure smooth office operations .
- Oversee office facilities, equipment, and maintenance services to provide a safe and efficient working environment.
- Coordinate procurement activities, including sourcing, purchasing, inventory control, and vendor management.
- Liaise with external service providers, contractors, landlords, and government agencies on administrative and facility-related matters.
- Monitor office supplies and maintain adequate inventory levels while ensuring cost-effective purchasing practices.
- Support budget tracking, expense management, and processing of administrative invoices and payments.
- Organize company events, meetings, business travel arrangements, and employee engagement activities.
- Assist in workplace health, safety, and compliance matters in accordance with company policies and local regulations.
- Provide administrative support to management and various departments, ensuring effective cross-functional coordination
- Maintain and update administrative records, contracts, licenses, and company documentation.
- Support onboarding and offboarding processes, including workspace setup, access card administration, and asset management.
- Handle ad hoc administrative projects and assignments as required by management.
Job Requirement
- Bachelor’s degree or above in Business Administration, Administrative Management, Corporate Management, Accounting, Finance, or a related field.
- Fluent in both English and Mandarin Chinese, with strong listening, speaking, reading, and writing skills. Proficiency in Taiwanese Hokkien or an additional foreign language is an advantage.
- Strong capabilities in office administration, cross-functional coordination, and organizational planning, with the ability to effectively support daily operational requirements.
- Proficient in Microsoft Office applications, including Excel, Word, and PowerPoint, with solid skills in document preparation, data management, and analytical reporting.
- Relevant experience in administrative management, general affairs administration, executive/secretarial support, procurement coordination, or office management. Demonstrates strong analytical thinking and problem-solving abilities, with the capacity to independently manage a wide range of administrative functions.
- Excellent English communication and coordination skills, with the ability to engage professionally and effectively with both internal and external stakeholders.
- Highly responsible, proactive, and team-oriented, with a positive work ethic. Willing to work flexible hours when required to support project needs and ensure the successful completion of assigned task
