ADMINISTRATIVE ASSISTANT

Job Responsibilities

Administrative Support

  • Perform accurate data entry and maintain records in internal systems
  • Handle filing, document control, and administrative documentation
  • Manage incoming emails, phone calls, and correspondence
  • Prepare reports, letters, and other administrative documents
  • Provide general administrative support to the management team

Accounts & Procurement Support

  • Assist with invoice verification, processing, and documentation
  • Prepare and generate Purchase Orders (PO)
  • Coordinate with suppliers on quotations, deliveries, and documentation
  • Maintain procurement and payment records

Coordination & Operations Support

  • Support coordination between office, site teams, and suppliers
  • Follow up on outstanding documents and project-related paperwork
  • Help ensure smooth daily operations and timely communication between departments
  • Assist management with ad-hoc administrative and operational tasks

Requirements (Required Competencies)

  • Basic computer skills (Excel, email, and data entry).
  • Organised, responsible, and able to follow up on tasks closely.
  • Ability to work independently and communicate clearly.
  • Prior experience in procurement, administration, or the construction-related industry is a plus.

Other Information

  • Work Schedule: 5 days per week (8.30am - 6.00pm)
  • Office Location: Defu Lane
