Administrative Executive
Key responsibilities
- Manage daily administrative operations and ensure proper filing, record keeping, and document organisation.
- Coordinate meetings, appointments, room bookings, courier arrangements, and general office correspondence.
- Maintain office supplies and workplace administrative support, including monitoring and coordinating items and services such as stationery, pantry needs, printer servicing, air-conditioning maintenance, and first aid supplies.
- Liaise with vendors, service providers, building management, and contractors on office-related matters and service schedules.
- Manage and apply for company licences, permits, registrations, and accreditations, and ensure supporting documents are updated and submitted on time.
- Provide grant submission support, including preparing administrative documents, compiling supporting information, tracking submission timelines, and coordinating with internal stakeholders.
- Support onboarding and offboarding administration, such as preparing documents, coordinating asset issuance or return, and updating internal records.
- Prepare simple reports, spreadsheets, letters, forms, and other administrative documents as required.
- Support company events, staff activities, and other ad hoc administrative projects assigned by management.
Requirements
- Diploma, NITEC, Higher NITEC, or equivalent qualification in Business Administration or a related field.
- At least 1 to 3 years of relevant administrative experience is preferred.
- Proficient in Microsoft Office applications such as Word, Excel, PowerPoint, and Outlook.
- Good organisational, communication, and coordination skills.
- Able to handle multiple tasks, work independently, and follow through on deadlines.
- Meticulous, resourceful, and able to maintain confidentiality where required.
Preferred competencies
- Experience in handling licence renewals, compliance-related documentation, or government portal submissions.
- Familiarity with basic HR administrative processes for onboarding and offboarding.
- Experience coordinating with external vendors and office maintenance service providers
