Administrative Executive (Sales Support)

Job Purpose

The Sales Support Admin Executive is responsible for providing administrative and operational support to the sales team to ensure smooth day-to-day business operations. The role includes handling customer documentation, order processing, coordination with internal departments, preparation of reports, and supporting sales activities to achieve business objectives.

Key Responsibilities

  • Provide administrative support to the sales team on daily operations.
  • Assist in preparing quotations, tender submission, customer audit and related documentation accurately and timely.
  • Coordinate with Sales team, Warehouse, Finance and internal departments regarding sales orders and documentation.
  • Maintain and update customer records, sales data, pricing information, and filing systems.
  • Prepare sales reports, monthly summaries, and other ad-hoc reports as required.
  • Assist in monitoring inventory availability.
  • Handle customer enquiries and provide prompt follow-up support.
  • Ensure proper documentation control and compliance with company procedures.
  • Perform other administrative duties and ad-hoc assignments assigned by management.

Requirements

  • Minimum Diploma, or equivalent qualification.
  • At least 1–3 years of relevant experience in sales administration or customer support role.
  • Proficient in Microsoft Office applications especially Excel and familiar with AI-assisted productivity tools such as Power BI or Microsoft Copilot.
