Assistant HR Executive

Recruitment & Onboarding

  • Support end-to-end recruitment activities including job postings, resume screening, interview coordination, and offer preparation
  • Liaise with hiring managers on recruitment needs and interview scheduling
  • Prepare onboarding documents and coordinate new hire orientation
  • Maintain recruitment and onboarding records accurately

HR Administration

  • Maintain and update employee records (new joiners, organisation chart)
  • Prepare Employment contracts
  • Assist in HR projects such as policy updates, employee engagement activities, and process improvements (digitalisation)
  • Support training administration (Arrange Forklift/Food Cert Course)

Reception Cover

  • Greet and welcome guests as soon as they arrive at the office
  • Direct visitors to the appropriate person and office
  • Answer, screen, and forward incoming phone calls
  • Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g pens, forms and magazines)
  • Provide basic and accurate information in-person and via phone/email.
  • Receive, sort, and distribute daily mail/deliveries
  • Order front office supplies and keep an inventory of stock (office supplies & Uniforms & Shoes)
  • Update calendars and schedule meeting

Requirements:

  • Min diploma in Human Resources, Business Administration, or a related field.
  • Has relevant experience in mass recruitment, at all levels of staff
  • Strong understanding of recruitment best practices, sourcing techniques, and selection methods.
  • Good knowledge of HR policies, procedures, and local employment laws.
  • Strong interpersonal and communication skills, with the ability to build relationships at all levels of the organization.
  • Strong organizational and time management abilities.
