Business Manager

You will make the CTO measurably more effective by owning the end-to-end operational surface around technology leadership. You will manage people operations tasks like vacation and leave administration, onboarding and offboarding logistics, and headcount record-keeping. You will prepare executive materials and synthesize team inputs into clear status updates, track and close open commitments, and coordinate with Finance on budgets and vendor invoices. You will serve as the operational contact between the CTO and central functions, maintain organized documentation of decisions and institutional knowledge, and support event and meeting logistics.

Responsibilities

  • Manage vacation requests, sick day tracking, and leave administration for the technology team
  • Coordinate onboarding and offboarding logistics including equipment, access provisioning, and HR coordination
  • Maintain headcount records and flag variances against plan
  • Handle routine HR coordination and escalate sensitive matters to the CTO
  • Prepare status updates, briefing notes, and materials for executive meetings
  • Synthesize inputs from the technology team into structured executive summaries
  • Track open commitments, action items, and decisions and drive them to closure
  • Track technology team budget (opex and capex) against plan on a monthly basis
  • Coordinate with Finance on purchase approvals, vendor invoices, and expense reconciliation
  • Maintain a vendor and subscription register for the technology function
  • Serve as operational point of contact between the CTO and Operations, HR, Finance, Legal, and Compliance
  • Coordinate logistics for external partner and vendor meetings on behalf of the CTO
  • Support VP of Sales on coordination touchpoints involving the technology function
  • Maintain organized documentation of decisions, commitments, and institutional knowledge
  • Support conference and event planning including research, logistics, and preparation
  • Curate inbound information relevant to the CTO’s areas of focus

Requirements

  • 4–7 years in business operations, chief of staff, project coordination, executive support, or a similar role
  • Direct experience supporting a senior technical or executive leader
  • Exceptional written communication suitable for CEO-level distribution
  • Operational precision: track commitments, close loops, and meet deadlines
  • Proactivity, ownership, adaptability, and self-awareness
  • Comfort with executive proximity and direct candid communication
  • Working fluency in collaboration and tracking tools such as Jira, Confluence, Asana, and Google Workspace
