Executive Secretary to General Manager
- Manages the General Manager’s diary to co-ordinate meetings/appointments, and to ensure smooth running of such meetings
- Maintains executive’s agenda and assist in planning appointments, meetings, events etc.
- Coordinates and communicates with various departments and all levels of staff on matters directed by the General Manager
- Handles and prioritizes all outgoing or incoming correspondence (e-mail, letters, packages etc.)
- Co-ordinates travel arrangements in a highly efficient manner and prepares detailed travel file accordingly
- Maintains systematic up-to-date filing and tracing systems
- Maintains and updates Executive Committee and Department Heads’ leave record
- Maintains confidentiality of sensitive matters/issues
- Minimum of 2 years experience in a similar position in an international brand. Remote area work experience is preferred.
- Professional, composed and resilient; with excellent communication, organization and administration skills.
- Proficient in Bahasa Indonesia and English as well as computer programs.
- Well-organized, discreet, trustworthy and is able to handle business information with complete confidentiality.
- Ability to handle all secretarial duties at the Executive Office and multitask as assigned by the Management.
- Work experience with hotel software (Opera Cloud, SunFish, MICROS, etc) will be preferred.
- Physical ability to stand and walk for long periods of time.
