Executive (Third-Party Management)

This role provides critical support in ensuring the safe management and regulatory compliance of a global fleet. As a key link between internal teams and external managers, you will play a vital part in maintaining operational efficiency and financial accuracy across all maritime assets.
Responsibilities
- Assist in preparing monthly opex funding for vessels under third-party management for senior review.
- Coordinate the timely submission of month-end reports, daily running costs, and dry-dock expenses.
- Collaborate with managers to develop and monitor yearly vessel inspection plans and schedules.
- Maintain meticulous document control of ship management agreements for all assigned vessels.
- Support the planning and coordination of vessel transfers, flag changes, and ownership transitions.
- Generate purchase orders for third-party managed vessels when orders are placed internally.
- Schedule monthly meetings with third-party managers and manage the distribution of technical presentations.
- Monitor and track the timely submission of invoices from vendors to ensure financial consistency.
- Follow up on outstanding action items from management meetings to ensure closure.
Requirements
- Diploma or degree in any discipline, with maritime studies viewed as an advantage.
- Minimum of one to two years of experience in the shipping industry or one year of offshore sailing experience.
- Good knowledge of third-party vessel management processes and maritime compliance.
- Excellent communication skills with fluency in written and spoken English.
- Proficiency in Microsoft Word, Excel, PowerPoint, and professional email etiquette.
- Strong interpersonal skills and the ability to perform effectively under tight deadlines.
