HR & Executive Assistant

Position Overview

We are an established global shipping and logistics firm seeking a highly motivated, organized, and bilingual professional to join our team in Singapore as an HR & Executive Assistant. This dual-function role is designed for a versatile professional capable of seamlessly balancing core human resource tasks with executive-level administrative and governance support.

Key Responsibilities

Human Resource Management

  • Recruitment & Talent Acquisition: Oversee foreign expatriate and local manpower recruitment and management, actively driving talent acquisition initiatives.

  • Benefits & Leave: Administer employee benefits and leave management programs.

  • Work Pass Administration: Handle work pass applications, renewals, and related procedures for foreign employees and/or their dependents.

  • Data Integrity: Maintain accurate, secure, and up-to-date employee records within internal HR systems, upholding excellent data management practices.

Executive Assistant Support

  • Board & Corporate Governance: Support board meetings, including the Annual General Meeting (AGM).

  • Compliance: Liaise with the corporate secretary on compliance requirements to ensure strict adherence to statutory and regulatory standards.

  • Documentation & Communications: Assist in preparing professional correspondence, meeting materials, speeches, memos, and presentations.

  • Information Security: Manage and maintain the absolute confidentiality of sensitive materials, records, and strategic information.

  • Administrative Operations: Organize and maintain filing systems, internal databases, and contact lists, while handling other corporate or ad-hoc administrative duties as assigned.

Job Requirements

  • Education: Bachelor’s degree from a recognized institution.

  • Language Proficiency: Excellent written and spoken command of both English and Mandarin to facilitate seamless business communication with Mandarin-speaking associates.

  • Technical Skills: Highly proficient with MS Excel and MS Word.

  • Core Skills: * Strong analytical, organizational, problem-solving, and interpersonal skills.
