Office Admin, 12 to 18-month, CBD

Job Scope:

  • Front desk duties – handling receiving and dispatching
  • Manage and monitor pantry stock
  • Familiarity with Coupa – vendor onboarding, raising PR, PO creation, Goods Receipt (GR), and invoice submission for payment processing
  • Grants administration – PR/PO processes as above
  • Provide logistics support for onsite events and meetings
  • General administrative and ad hoc duties as required
  • Backup support for Sales Admin colleague
  • Fire warden responsibilities

Requirements:

  • Diploma or Degree in Business Administration or related discipline
  • Minimum 2 years of administrative/front desk/reception experience, preferably within an MNC environment
  • Experience in handling procurement and invoicing processes, including PR, PO, Goods Receipt (GR), and invoice submission
  • Familiarity with Coupa or similar procurement systems will be advantageous
  • Good coordination and organizational skills with the ability to manage multiple tasks independently
  • Comfortable handling front desk/reception duties and supporting onsite meetings/events
  • Good communication and interpersonal skills
  • Proficient in Microsoft Office applications such as Excel, Word, and Outlook
  • Able to work in a fast-paced environment with minimal supervision
  • Meticulous, proactive, and service-oriented mindset
  • Prior experience within healthcare, pharma, or MNC environments will be advantageous
  • Willing to take on ad hoc administrative and operational support duties as required

  • Contract duration: 12 to 18-month contract, renewable and convertible to perm
  • Commencement Date: Immediate
  • Working days and hours: Mon to Fri, 9am to 6pm
  • Location: Mapletree Business City, Singapore 117372
