Office Assistant (Interior Design)

Job Summary
You will support daily project coordination and administrative tasks to ensure smooth project execution and accurate documentation within the company.
Responsibilities
- Coordinate ongoing projects by providing administrative support to ensure timely completion
- Manage pantry orders, stationery supplies, and Taobao purchases to maintain office resources
- Schedule and coordinate office maintenance activities, including aircon servicing and cleaning, to ensure a well-maintained work environment
- Organize and coordinate schedules, meetings, and site appointments for project teams as needed
- Prepare, organize, and maintain accurate project documents and records for easy retrieval and audit readiness
- Liaise with internal teams, suppliers, and subcontractors to facilitate clear and professional communication
- Track project progress and update reports to reflect current status and milestones
- Assist in preparing quotations, invoices, and basic project documentation to support finance operations when required
- Ensure all paperwork is properly filed, updated, and accessible for audit and reference purposes
- Support Finance and HR departments with filing, organizing, and simple data entry tasks as needed
- Adapt to potential role changes, including transition to Admin Executive or Personal Assistant positions
Preferred competencies and qualifications
- Basic administrative or project coordination experience preferred
- Proficient in Microsoft Office applications including Excel, Word, Outlook, and OneNote
- Communicate clearly and professionally with multiple stakeholders to facilitate collaboration
- Organize multiple tasks and maintain detailed records to support project and office operations
- Multitask and work independently with minimal supervision
- Demonstrate responsibility, attention to detail, and a proactive approach to work
- Singaporean, Permanent Resident, or Long-Term Visit Pass holder preferred

- 5-day work week (Monday to Friday)
- 10:00 AM to 7:00 PM
Salary
- SGD $1800 – $2500 per month (basic), depending on experience
