Operations Executive

Location: Singapore
Employment Type: Full-Time
Salary: SGD $3,000 – $3,500 per month (commensurate with experience)

About the Role

We are looking for a proactive, organized, and detail-oriented Operations Executive to support the day-to-day operations of our business. The ideal candidate will be responsible for inventory management, logistics coordination, operational documentation, customer and supplier correspondence, and administrative support.

This role requires strong organizational skills, attention to detail, and the ability to manage multiple responsibilities efficiently in a fast-paced environment.

Key Responsibilities

Inventory Management

  • Receive and verify incoming shipments against supporting documents.
  • Perform stock checks and maintain accurate inventory records.
  • Track and record stock-in, stock-out, and inventory transfers.
  • Investigate and report inventory discrepancies.
  • Ensure proper organization and storage of inventory items.

Operations & Logistics

  • Coordinate incoming and outgoing shipments.
  • Prepare, pack, and dispatch small shipments accurately and on time.
  • Arrange collection and delivery of related items when required.
  • Monitor shipment status and follow up on deliveries.
  • Liaise with courier companies, suppliers, and customers regarding shipment matters.

Documentation & Administration

  • Prepare and issue quotations, invoices, delivery orders, and packing lists.
  • Maintain accurate records and perform timely data entry.
  • Organize and manage operational documentation and filing systems.
  • Handle email correspondence and follow up with customers, suppliers, and business partners.
  • Ensure all operational records are accurate and up to date.

General Operations Support

  • Assist with staff scheduling and coordination.
  • Support management with daily operational and administrative tasks.
  • Identify and recommend improvements to operational processes and workflows.
  • Perform other ad hoc duties as assigned.

Requirements

  • Minimum GCE O-Level, NITEC, Diploma, or equivalent qualification.
  • 2–5 years of experience in operations, administration, logistics, inventory control, or a related field.
  • Proficient in Microsoft Office applications, particularly Excel, Word, and Outlook.
  • Strong organizational and multitasking abilities.
  • Excellent attention to detail and accuracy.
  • Good communication and interpersonal skills.
  • Able to work independently and as part of a team.
  • Positive attitude, responsible, and willing to learn.
