Personal Assistant

About The role

We are a fast-moving company looking for a highly organised and proactive Personal Assistant to support our Founders. In this role, you will help manage their schedules, coordinate communications, organise meetings and travel, and ensure important tasks are followed through. This is a high-trust and high-visibility role, well-suited to someone who is detail-oriented, resourceful, and comfortable working in a dynamic environment.

Some of the Key Responsibilities

  • Manage the day-to-day calendars of the founders, including prioritising meetings and commitments based on urgency and importance.
  • Schedule and coordinate both internal and external meetings, ensuring all parties receive timely invites and confirmations — book meeting rooms, venues, or virtual conference links where required
  • Coordinate scheduling across multiple time zones for international counterparties and remote team members
  • Track and follow up on action items arising from meetings to ensure timely completion
  • Draft, review, and manage professional correspondence on behalf of the founders, including emails, introductions, and follow-ups
  • Book flights, accommodation, and ground transport and full travel itineraries
  • Handle confidential and sensitive information with discretion
  • Take ownership of ad-hoc administrative tasks and personal support tasks as required

About you:

  • Minimum 2–3 years of experience as a Personal Assistant, Executive Assistant, Senior Secretary, or in a similar support role
  • Individuals with experience as a front desk/receptionist who are keen to take on a Personal Assistant role are welcome to apply
  • Excellent written and spoken English; able to communicate clearly and professionally with senior external stakeholders
  • Strong organisational skills with the ability to manage competing priorities and remain calm under pressure
  • Proactive, resourceful and able to anticipate needs before being asked
  • Experienced in managing travel arrangements, including international itineraries
  • High level of discretion and confidentiality in handling sensitive information
  • Detail-oriented, dependable and takes pride in getting things right
