Job Title: Procurement Officer II
Department: Accounts Department
Reporting Relationship: Accountant
Summary of Responsibilities: The Procurement assistant He/she is responsible for assisting in all local and international purchases for the Port. He/she works
under the direct of the accountant and the supervision of the Procurement Officer I.
Job Responsibilities:
- Assist in purchase order preparation and inventory change orders.
- Assist in communicating with vendors to request quotes, confirming on lead times, negotiating basic terms, and following up on deliveries to freight forwarder.
- Assist in liaising with freight/shipping companies to consolidate cargo.
- Assist in liaising with brokers for clearing of shipments from customs and arranging delivery from warehouse to storeroom.
- Assist in monitoring inventory levels and coordinating with storeroom supervisor to place replenishment orders, including inventory spot checks.
- Assist in verifying invoices and support accounts payable by matching POs, item receipts, and invoices, addressing discrepancies.
- Assist in posting Accounts payables invoices including reconciliation with vendor statements
- Assist in preparation of wire transfers for payments for vendors
- Assisting in cost analysis and cost-saving initiatives. Identify opportunities for cost reduction without compromising quality.
- Providing administrative support to the procurement team as required. Schedule meetings, maintain calendars, and assist with correspondence.
- Assisting in application for exemption letters for international purchases,
- Assist in job costing preparation for all International Purchases.
- And any other duties assigned.
Job Qualifications/Requirements:
- Minimum of associate’s degree in accounting
- Proven experience as a procurement assistant or in a similar role is a plus
