SUMMARY OF ROLE

The Recruitment Coordinator (RC) is responsible for completing tasks within a centralized, high-volume, queue-based support inbox that serves eligible recruiters across the organization.

This role is designed to deliver timely, high-quality administrative support. Recruiting Coordinators operate within a shared services inbox model, supporting a broad network of recruiters based on inbound demand.

This role is execution-focused and process-driven, requiring strong operational discipline, attention to detail, and the ability to manage competing priorities in a fast-paced environment. Recruiting Coordinators collaborate closely with team members to ensure seamless workflow continuity, efficient turnaround times, and high-quality output across recruiting operations.


Key Responsibilities
• Monitor and triage a high-volume shared inbox, supporting multiple recruiters across the organization while prioritizing requests based on urgency.
• Ensure timely acknowledgment, processing, and completion of incoming requests in alignment with service expectations.
• Perform high-volume, process-driven administrative tasks, including data entry, clinician profile updates, document management, license and certification support, and ticket submission and tracking.
• Ensure all work meets established quality standards for accuracy, completeness, and formatting.
• Review requests for completeness, identify discrepancies, and resolve or escalate issues as needed.
• Utilize internal systems (e.g., Nova) and tools to execute tasks efficiently and accurately.
• Apply working knowledge of clinician professions and specialties (e.g., nursing and allied) to ensure accurate data entry and proper classification.
• Collaborate with team members to maintain continuous inbox coverage, ensure seamless handoffs, and support consistent service delivery across shifts.
• Demonstrate flexibility in taking on new responsibilities and administrative tasks as processes and business needs evolve over time.

Success in this role is measured by a combination of productivity, quality, and service levels:

  • Turnaround Time: Prompt, proactive communication and timely completion of inbox requests in alignment with defined service-level expectations
  • Productivity: Expected to meet evolving productivity benchmarks, including a target number of requests completed per hour and/or per day, as performance standards evolve
  • Volume Management: Ability to efficiently manage high daily request volume across multiple recruiters while maintaining accuracy and quality

Qualifications & Requirements



Required Education & Experience

  • Bachelor’s degree, or completion of at least two (2) years of college preferred.
  • Minimum of two (2) years of professional work experience, preferably in administrative support, operations, recruiting coordination, or a high-volume shared services environment.

Required Core Skills & Competencies

  • Strong organizational and time management skills, with the ability to manage high volumes of work and prioritize effectively in a fast-paced, queue-based environment
  • High attention to detail with a consistent focus on accuracy, quality, and completeness
  • Excellent written and verbal English communication skills, with the ability to communicate clearly and professionally
  • Demonstrated accountability, reliability, and ownership of work
  • Ability to adapt to shifting priorities, processes, and schedules within a structured, process-driven environment

Required Technology Experience

  • Proficiency in Microsoft Office Suite (Outlook, Excel, Word, Teams)
  • Strong knowledge of Microsoft Outlook, including:
    • Flagging, color categorization, and folder organization
    • Tracking and prioritizing tasks within a queue
  • Ability to quickly learn and navigate new systems, tools, and workflows

Work Requirements

  • Ability to work assigned shifts Monday–Friday within operating hours of 5:00am–5:00pm PST, including early morning, evening, or rotating shifts as needed
  • Willingness to support occasional schedule adjustments or additional hours based on business demand
  • Flexibility to support periodic weekend work (Saturday–Sunday) for special projects or critical business needs
