You will contribute to creating a collaborative and technology‑enabled learning environment, support the development of organisational capabilities,and strengthen a culture where staff take ownership of their learning journey. Your work plays a key role in ensuring that Woodlands Hospital continues to build a resilient, skilled, and future‑focused workforce.

What You Will Drive

1. Learning Management & Programme Operations

Coordinate and manage the operational aspects of learning and development programmes to ensure smooth planning, delivery, and administration.

Partner Learning Programme Leads to organise schedules,coordinate logistics, and support programme execution.

Liaise with trainers, facilitators, vendors, andstakeholders to ensure readiness of materials, resources, and trainingenvironments.

Manage programme registration systems, attendance tracking,and participant communications.

Support pre‑course,in‑class, and post‑course administrativeactivities across both face‑to‑face and virtual learningformats.

Handle post‑programmeevaluations, feedback collection, and virtual workshop coordination.


2. Financial, Procurement & Administrative Support

Process invoicing and payments for learning programmes incompliance with organisational policies.

Support procurement processes, including managing quotations and vendor coordination.

Monitor training budgets, track utilisation and expenses, and prepare summaries for reporting.

Support payments related to training activities, including vendor invoices and staff reimbursements.


3. Learning Records & Reporting

Maintain accurate and comprehensive learning records ofstaff, including tracking programme participation and cost centre utilisation.

Prepare reports on programme attendance, feedback analysis,and budget utilisation.

Support evaluation of programme effectiveness and identifyopportunities for process improvements.

Serve as a point of contact for stakeholders regardinglearning opportunities and related queries.


4. Process Improvement & Innovation

Review and analyse existing learning administration processes to identify improvement opportunities.

Support the development and implementation of PeopleDevelopment policies, systems, and standard operating procedures.

Create and manage digital tools such as training forms andsurveys (e.g. FormSG, SurveyMonkey).

Explore and implement technology‑enabled solutions to enhanceprogramme delivery and streamline workflows.

Support adoption of learning technologies and digital platforms, including learning management systems.

Contribute to automation and digital workflow enhancements within learning operations.


5. Quality Assurance & Compliance

Ensure compliance with Woodlands Health and NHG Healthpolicies in all learning operations.

Conduct quality checks on programme administration processes and documentation.

Support audit preparation and compliance reporting forlearning‑related activities.

Contribute to the development of quality standards andperformance metrics for learning operations.


6. Cross‑Functional Collaboration

Support departmental projects and initiatives incollaboration with internal and external stakeholders.

Work closely with the P&OD team to contribute to cross‑team and organisation‑wide initiatives.

What You Bring

Education & Experience

  • Diploma in Human Resources, Business Administration, or a related field with a minimum of 3 – 4 years of experience in administrative support, programme coordination, or learning and development operations, preferably within a healthcare or learning environment
  • Prior experience in coordinating training programmes, secretariat functions, or process improvement initiatives will be advantageous for this job role
  • Experience in budget monitoring, vendor management, and compliance processes preferred.
