Supervisory Medical Administrative Specialist

The Supervisory Medical Administration Specialist, Medical Administration Service (MAS) plans, organizes, assigns, sets work standards and reviews work of subordinates in the Emergency and Admissions Unit. The selectee will supervise Medical Administrative Specialists, Patient Services Assistants, Medical Support Assistants, and a Program Support Clerk.

Duties include but are not limited to: Performs necessary liaison work, coordinates with representatives of other units or services to coordinate changes in procedures affecting other services Conducts ongoing and annual performance appraisals when necessary and/or recognizes high level performance by making recommendations as directed by the Incentive Awards Program Informs higher level supervisor of anticipated vacancies and prepares written justification for replacement or need of additional staffing; interviews applicants for vacancies Conducts and directs on-the-job training and provides cross-training opportunities to all unit employees Keeps Chief, Management Support Section informed of present and projected resources needed to accomplish the Emergency & Admissions Units objectives and workload, and any problems or potential problems encountered with patient care activities Gathers statistical information, prepares periodic reports on Emergency and Admissions Unit programs and provides justifications for budgetary, personnel, equipment, and space requirements Research and prepare replies to complaint letters and Congressional correspondence prepared for the signature of the Center Director, as well as routine correspondence to Veterans or their representatives explaining VA regulations or medical center policies Oversees the daily monitoring of the Bed Management System (BMS) and ensures that the Administrative Officer of the Day (AOD) and clerks are knowledgeable on the use of BMS and it is used in an appropriate and consistent manner Work Schedule: Monday - Friday 7:30am to 4:00pm (Subject to change based on the needs of the Agency) Telework: This position is not authorized for telework. HCP are individuals who, during the influenza season, work in VHA locations or who come into contact with VA patients or other HCP as part of their duties. VHA locations include, but are not limited to, VA hospitals and associated clinics, community living centers (CLCs), community-based outpatient clinics (CBOCs), domiciliary units, Vet centers and VA-leased medical facilities. HCP include all VA licensed and unlicensed, clinical and administrative, remote and onsite, paid and without compensation, full- and part-time employees, intermittent employees, fee basis employees, VA contractors, researchers, volunteers and health professions trainees (HPTs) who are expected to perform any or all of their work at these facilities. HPTs may be paid or unpaid and include residents, interns, fellows and students. HCP also includes VHA personnel providing home-based care to Veterans and drivers and other personnel whose duties put them in contact with patients outside VA medical facilities.
