Job Summary

Support daily administrative operations by managing customer inquiries, data entry, billing documents, scheduling, and regulatory permit applications to ensure smooth department workflow.

Responsibilities

  • Respond promptly and accurately to customer inquiries and emails to maintain effective communication
  • Enter daily reports into data systems to ensure accurate record-keeping
  • Assist in preparing and organizing billing documents including quotations and delivery orders
  • Prepare and generate monthly servicing schedules to support maintenance planning
  • Organize and file daily documents to maintain orderly records
  • Verify and update technician overtime claims to ensure accurate payroll processing
  • Apply online for elevator yearly renewal permits with BCA to maintain regulatory compliance
  • Prepare purchase orders as needed to support procurement processes
  • Perform other ad-hoc duties assigned by the department supervisor to support team operations

Required competencies and certifications

  • Proficiency in Microsoft Word and Excel to complete documentation and reporting tasks
  • Effective communication skills in English and Chinese to interact with customers and team members
  • Minimum education level: GCE N"/O" level equivalent
  • At least 1 year of administrative experience to perform core duties efficiently

Preferred competencies and qualifications

  • Immediate availability to start work promptly
  • Ability to work cooperatively as a team player

Other Information

  • Working days: 5.5 days per week (Monday to Friday 8:30 AM to 5:30 PM; Saturday 8:30 AM to 12:30 PM)
