Why This Role Exists
This role exists to take complete ownership of our physical premises, with the retail shop as its primary priority. Wear and tear are constant in a space that sees daily footfall, and staying ahead of it is never finished work. The Facilities Officer is here to make sure the shop, and the wider premises behind it, always looks and functions at its best: continuously spotting what needs attention, fixing it before customers ever notice, and maintaining the space to a standard that reinforces the confidence our customers place in us. Our shop is the first thing a customer sees, and in a business built on trust, that first impression carries enormous weight. When someone walks in to buy or store, the condition of the space tells them everything about how seriously we take our responsibilities. A showroom that is spotless, well-kept and working perfectly signals a company that is careful with detail and worthy of that trust.
This is a thoroughly hands-on role. Wherever something can be fixed, assembled, installed or maintained directly, you are expected to roll up your sleeves and do it yourself if you can, calling in outside help only when a job genuinely requires it. Alongside this practical work you will manage maintenance, coordinate contractors and vendors where needed, maintain building security systems, and ensure health, safety and compliance standards are met. You will be the first point of contact for anything to do with the building and its physical infrastructure.
What You’ll Own
Facilities & maintenance
Ensure the retail and office spaces are consistently presentable and fully functional, maintaining a clean, tidy and professional environment for customers and staff.
Carry out daily walkthroughs of the office, showroom and vault areas to identify and address maintenance, cleanliness and safety issues.
Support with the maintenance and upkeep of physical security systems, including CCTV, access control, alarms and locking mechanisms, escalating faults promptly to management.
Personally carry out hands-on repairs, fixes, assembly and minor installation work wherever you can, fixing faults, assembling furniture and fittings, mounting equipment and handling everyday maintenance yourself.
Where required, coordinate and supervise repairs, servicing and preventive maintenance of building systems, air-conditioning, electrical, plumbing, lighting and general fittings etc.
Manage relationships with external contractors and service vendors, schedule their work, and verify quality on completion.
Maintain an inventory of facilities supplies, tools and equipment, and reorder as needed.
Administer employee security access — issuing, updating and revoking access cards and permissions in line with management instructions, and keeping access records accurate and up to date.
Manage controlled access for maintenance work in secure areas, observing all security protocols.
Organise regular servicing, statutory inspection and repair of the lift, keeping it safe and in continuous working order.
Health, safety & compliance
Ensure premises comply with workplace health, safety and fire-safety regulations, and maintain related records and certifications.
Conduct and document routine safety checks of required safety equipment, emergency exits, first-aid supplies and signage etc.
Support emergency preparedness, including evacuation procedures and incident response.
Administration
Maintain accurate records of maintenance schedules, service contracts, warranties, inspections and facilities-related expenditure.
Track and help manage the facilities budget, sourcing quotes and supporting cost-effective procurement.
Help process facility-related invoices, checking them against work done or goods received and passing them on for approval and payment.
Provide general support for office moves, space planning and equipment setup as required.
Support projects that involve the physical premises — such as renovations, shop fit-outs, relocations and the installation of new equipment or systems — getting hands-on with the practical work, coordinating contractors, and keeping disruption to daily operations to a minimum.
