Catering and Conference Services Executive
Duties & Functions:
- Handle incoming catering, social, and wedding inquiries and convert them into confirmed business
- Proactively upsell menus, venues, AV, décor, and added services to maximize total event revenue
- Identify and develop new business opportunities within Arabic-speaking markets and social segments
- Build strong relationships with wedding planners, social event planners, and key clients
- Negotiate contracts, pricing, and terms in line with hotel strategy and approvals
- Achieve individual and team revenue targets
- Conduct professional site inspections to convert business
- Create proposals and contracts in line with hotel standards
- Ensure all event payments, deposits, and guarantees are received as per finance policy
- Coordinate and manage social events and weddings, ensuring all client requirements are delivered with precision
- Support corporate events when assigned by management
- Act as the main point of contact for clients from contract to event day
- Coordinate menu tastings and support menu planning with clients and culinary team
- Assist clients in coordinating external vendors (florists, furniture, linen, entertainment, etc.)
- Prepare floor plans, seating plans, and event coordination materials
- Conduct site inspections and planning meetings leading up to events
- Meet and greet clients on the day of the event and oversee smooth execution
- Conduct proper event handovers to Banquet Operations for flawless delivery
- Proactively solve problems onsite to protect guest experience and revenue
- Gather client feedback and share insights with CCS leadership
- Attend BEO meetings and ensure full operational alignment across Banquets, Culinary, AV, Engineering, Security, and Front Office
- Ensure all event details are accurately entered and maintained in Delphi / Amadeus
- Prepare and distribute Daily Event Reports to relevant stakeholders
- Ensure BEOs, floor plans, and operational notes are complete, accurate, and issued on time
- Ensure smooth internal communication between all departments involved in event delivery
- File contracts, maintain organized digital and physical files, and ensure timely collection of signatures
- Maintain accurate client and event records in all systems
- Manage correspondence and CCS-related inquiries professionally and in a timely manner
- Compile event data for internal analysis and reporting
- Process business-related forms including refunds, complimentary forms, entertainment
- vouchers, and expense reports
- Ensure full compliance with hotel systems, policies, and procedures
