Customer Service and Operation Executive

Job Summary
You will manage sea export shipment bookings, handle customer enquiries, and ensure compliance with shipping procedures to deliver excellent customer service and support logistics operations efficiently.
Responsibilities
- Develop and maintain new and existing customer accounts to grow business relationships
- Manage client bookings with shipping lines or coloaders to ensure accurate shipment scheduling
- Input booking details and costing into freight systems to maintain accurate records
- Verify vendor billing against quotations and dispute discrepancies to control costs
- Execute Bills of Lading (B/L) based on customer service instructions and carrier/agent requirements
- Handle all sea export shipment bookings through multiple communication channels and manage invoicing
- Respond promptly to customer enquiries via email to provide timely support
- Provide timely updates to customers on freight status to ensure transparency
- Create and update customer-specific Standard Operating Procedures (SOPs) to maintain service consistency
- Understand customer profiles and handling requirements to ensure full compliance and satisfaction
- Address customer complaints and enquiries with urgency, offering solutions or recovery actions when possible
- Build and maintain strong business rapport with external and internal customers to foster collaboration
- Prepare and submit reports promptly as required by management
- Collaborate effectively within the team, communicating clearly and understanding workflow
- Take on additional tasks delegated by Department Supervisor or Manager to support operations
Preferred competencies and qualifications
- Minimum 1 year of related work experience in shipping or logistics
- Good understanding of shipping lines, coloaders, and shipping procedures
- Knowledge of import and export documentation processes
- Familiarity with costing, billing, and permit declaration is an added advantage
- Certificate in Transport Logistics or Dangerous Goods Regulations (DGR) is a plus
- Strong command of written and spoken English
- Self-motivated with customer-oriented mindset
- Ability to work under pressure with high endurance
