HR & Admin Assistant

We are looking for a motivated and detail-oriented Admin cum HR Assistant to join our team. This is an excellent entry-level opportunity for fresh Diploma or ITE graduates looking to build a strong foundation in corporate administration, travel coordination, and human resource management.

Reporting directly to the management team, you will play a vital role in keeping our daily office operations smooth, coordinating executive travel logistics, and keeping our HR processes efficient.

Key Responsibilities:

1. Human Resource & Travel Administration

  • Executive Travel & Visa Coordination: Coordinate travel arrangements for management staff; research visa requirements for business travel, compile necessary documentation, and liaise with corporate travel/visa agents to ensure timely approvals.

  • Work Pass Administration: Handle the end-to-end processing of foreign worker passes, including new applications, renewals, and cancellations via the Ministry of Manpower (MOM) portal.

  • Employment Documentation: Assist in drafting, issuing, and maintaining employment contracts, confirmation letters, and other HR-related correspondence.

  • Compensation & Benefits: Assist in monthly payroll processing, track staff attendance/leave records, and verify employee expense/travel reimbursements.

  • Onboarding & Offboarding: Coordinate logistics for new hires (e.g., setting up workstations) and assist with clearance procedures for exiting employees.

2. General Administration

  • Manage daily office administrative duties, including handling incoming calls, sorting mail, and couriering confidential documents.

  • Monitor and replenish office assets, pantries, and stationery supplies.

  • Maintain an organized digital and physical filing system for company records, ensuring confidentiality is strictly upheld.

  • Support management with ad-hoc administrative tasks or company events as required.

Job Requirements:

  • Qualifications: Minimum Diploma or ITE certification in Business Administration, Human Resource Management, Hospitality, or a related discipline. Fresh graduates are highly encouraged to apply.

  • Technical Skills: Proficient in Microsoft Office applications (Word, Excel, Outlook). Knowledge of basic Excel formulas for data and expense tracking is a plus.

  • Competencies: Keen eye for detail with a strong interest in learning or managing travel compliance, visa protocols, and Singapore Ministry of Manpower (MOM) regulations.

  • Soft Skills: High level of integrity and responsibility with the ability to handle confidential employee and management data discreetly.

  • Attributes: Highly organized, proactive, and resilient when dealing with tight timelines (e.g., last-minute travel or visa applications). Strong communication skills to liaise effectively with internal management and external agents.
