Inbound Administrator
Job Summary
The Inbound Admin is responsible for supporting inbound logistics operations by managing documentation, coordinating shipments, maintaining accurate inventory records, and ensuring timely receipt of goods into the warehouse. The role requires strong attention to detail, system accuracy, and coordination with internal and external stakeholders.
Key Responsibilities
Inbound Operations Support
Coordinate and schedule inbound deliveries with Business Unit, transporters, and forwarders
Monitor daily inbound shipment status and ensure adherence to delivery schedules
Support receiving team by preparing required documentation for goods receipt
Process incoming shipment documentation (e.g., Delivery Orders, Packing Lists, Invoice verification)
Perform system transactions (e.g., Goods Receipt in EWM/ERP systems
Ensure accurate data entry of inbound shipments and inventory updates
Maintain proper filing and record-keeping
Ensure accurate inventory updates following receipt of goods
Report discrepancies between physical stock and system records to Supervisor/ Executive
Communicate delays, discrepancies, or issues in inbound shipments proactively
Support audit requirements and compliance checks
Prepare daily/weekly inbound reports and KPI tracking
Monitor inbound performance metrics such as on-time delivery, accuracy, and volume
Key Requirements
Experience
1–3 years of experience in warehouse operations or logistics administration preferred
Technical Skills
Experience with EWM/ERP systems
Proficient in Microsoft Excel (basic formulas, data entry, reporting)
Soft Skills
Strong attention to detail and accuracy
Good communication and coordination skills
Ability to work in a fast-paced warehouse environment
Problem-solving mindset and ability to handle discrepancies
Experience in high-volume distribution centers
Working Details
Based in warehouse/distribution center environment
Working Location: 47 Jalan Buroh
Working shifts: 7am - 4pm, 10am - 7pm, 1pm - 10pm
Working days: 5.5 days
