Operations Specialist

You will act as the operational backbone, bringing structure and scalable systems to daily work. You will create and maintain SOPs and SLAs, manage traveler profiles and reservations, oversee fleet and equipment inventory, draft and manage contracts, assist with budgeting and expenses, and manage complex calendars and travel. You will lead internal projects, coordinate cross-functional work, liaise with vendors, support onboarding and training on systems, and troubleshoot minor technical issues while coordinating with IT partners.

Responsibilities

  • Build and maintain operational infrastructure including SOPs and SLAs
  • Create scalable systems to support daily operations and long-term growth
  • Serve as the central source of truth across tools, documentation, and workflows
  • Manage traveler profiles and reservations for teams and principals
  • Oversee vehicle fleet, insurance, and maintenance records
  • Manage security and communications equipment inventory
  • Ensure accuracy, organization, and accessibility of operational assets
  • Lead and support internal initiatives and system upgrades
  • Track project timelines, deliverables, and cross-functional coordination
  • Draft, track, and manage contracts, engagement letters, and vendor agreements
  • Assist with budgeting, billing coordination, and expense tracking
  • Manage complex calendaring, shift rotations, property schedules, and travel coordination
  • Act as liaison between internal teams and external vendors
  • Support onboarding and training on systems and processes
  • Provide administrative and high-level operational support to the CEO
  • Troubleshoot minor system issues and coordinate with external IT partners

Requirements

  • Background in operations, logistics, supply chain, government, or military environments strongly preferred
  • Experience in project management, process development, and contract management
  • Strong organizational and documentation skills with exceptional attention to detail
  • Familiarity with inventory tracking and basic accounting principles
  • Comfortable working in a fast-paced, high-accountability environment
  • Proficiency with modern tools including Google Suite, spreadsheets, and operational platforms
  • Experience supporting senior leadership or founders preferred
  • Exposure to security operations or high-stakes environments preferred
  • Veteran status or familiarity with military environments preferred
  • Experience running a business or operating with ownership-level responsibility preferred
